A neighboring plural-character occurrence bitmap is created which stores data representing a presence of each neighboring plural-character string at a certain entry thereof. N-character strings at every (m+l)-th character positions are extracted from a search term and the neighboring plural-character occurrence bitmap is searched by using a search control program.

A suitable image pickup unit is selected in accordance with the characteristics of the audio signal to make the sights of conversation participants coincide with each other. A component character table is created in which characters occurring in each of the condensed texts are registered without duplication. The condensed texts and the component character table are registered in the data base together with the texts of the documents to be registered.
